How to add a person or organization#

Adding a contributor credits a person or an organization on a record. Do it when someone took part in the work, or when an organization funded or hosted it.

Before you start#

You need to manage the record, which means holding the Can manage level on it or on the record above it. A superuser cannot be credited, so the portal adds nobody when you choose one.

Steps#

  1. Open the record’s page and choose its Contributors tab.

  2. Choose Add person to credit a person, or Add organization to credit an organization.

  3. Find the contributor on one of three tabs. Use the first that fits.

    • Already in the portal: type part of the name and choose Search, then choose the match. A contributor already credited on the record is marked and cannot be added again.

    • Find by ORCID for a person, or Find in ROR for an organization: search by name or by identifier, then choose the match. The portal makes a profile from the registry’s record. A person made this way has no account and can claim the profile later by signing in with ORCID. A profile that already holds the identifier is used instead of a second one.

    • New person or New organization: enter the details by hand. For a person, enter a Given name and a Family name. For an organization, enter a Name and, if you want, a City, a Country and a Website. Give the country by name or by its two-letter code.

  4. For a person, choose the organization they are credited from on this record. See How to change the organization a person is credited from for what the choice means.

  5. Choose Add to this followed by the record’s kind. For an organization found in the portal, choose Add.

  6. On the Edit a contributor screen that opens, set the contributor’s roles and, for a person, their level. Choose Save.

If a person with the same name is already in the portal, the New person tab lists those profiles first. Choose one of them if it is who you mean, so their work stays on one profile. Otherwise choose Make a new profile anyway and add. An organization with the same name as one in the portal is never made twice.

If the registry cannot be reached, the tab says so. The other two tabs still work.

The result#

The contributor is credited on the record, last in their list. A person starts at Can view with no roles, so on a private record they can open it and cannot change it. An organization holds no access. Nobody is emailed.

The organization you chose for a person is listed under Organizations on the record too, once, however many people are credited from it.

The screens are described on Contributors. A person’s account and how a profile is claimed are explained in How contributor accounts and credits work.
